The basics

What Is a Custom Balloon Installation?

When it hangs from the ceiling, spans the room, takes on a shape or carries a logo, it's an installation.

An installation is balloon decor designed for one particular space and assembled there, usually bigger or more structural than an arch, a garland or a pair of columns. Picture a canopy of balloons above a dance floor, a cloud floating over the sweetheart table, a 30-foot entrance arch for a store opening, an oversized number mosaic, a walk-through tunnel or a logo built in balloons. This is the point where balloon decor turns into balloon art.

Since each installation is built for one room, the process starts with measurements and a design, not a price sheet. It's the right choice when the space is large, the event is high-profile, or you want something your guests haven't seen at every other party this year. For standard pieces, see our balloon arches, garlands, walls, columns and backdrops.

What we install

Types of Custom Balloon Installations

These are the installs that venues, brands and hosts around Chicago ask about most.

Balloon ceilings

A balloon ceiling fills the overhead space. It can be helium balloons pressed against the ceiling with ribbons trailing down, air-filled balloons hung upside down at staggered heights, or garlands swagged from wall to wall. Overhead balloons turn a plain banquet hall, school gym or loft into an event space, and they're a favorite for proms, quinceañeras, weddings and holiday parties.

Hanging balloons, canopies and chandeliers

Garlands hung low over a long table, a canopy over the dance floor or a tent, balloons wrapped around a chandelier that's already there, or a balloon chandelier built on a hoop: all of these put decor at eye level and above while leaving the floor clear. Lofts with exposed timber beams are made for it, as long as the venue signs off on what gets hung.

Balloon clouds

Clouds are big, soft clusters of white and clear balloons, sometimes with a touch of pastel or metallic, floated above a table or set up as a backdrop. They're made for cloud-nine themes, baby showers and dreamy wedding tables.

Balloon drops

A balloon drop lets hundreds of balloons fall from a net or bag overhead at the exact moment you choose: the midnight countdown on New Year's Eve, a gender reveal, a grand entrance, the end of a graduation or a product launch. The drop is rigged ahead of time and released with a pull cord, by us or by someone on your team.

Balloon sculptures and balloon art

Sculptures take a recognizable shape: an oversized number, a cake, a pineapple, an airplane, a mascot, a logo. Balloon art for galleries, schools and brand activations can be built life-size or larger.

Balloon trees, palm trees and topiaries

Freestanding shapes work much like balloon columns with something fun on top: palm trees for luaus and pool parties, topiaries for formal dinners, and balloon Christmas trees for office lobbies in December.

Balloon tunnels

A tunnel is a row of arches set close enough together that guests walk through them. It makes a dramatic wedding entrance, a school walkway, a fun-run finish or a store-opening welcome.

Balloon mosaics, number towers and marquee letters

A mosaic fills a number, letter or shape frame with small balloons, almost like a picture made of balloon pixels. Mosaic numbers and letters spell out an age, an initial or a class year, and light-up marquee letters with garland wrapped around them add glow. Both are requested constantly for birthdays and graduations.

Balloon wreaths and giant balloons

Balloon wreaths frame a front door or a welcome sign. Giant balloons, 36 inches and up and sometimes stuffed with confetti, make a big moment for reveals, proposals and photo shoots.

Process

How a Custom Installation Comes Together

Bigger builds take a bit more planning. Here's what that looks like.

  1. 1

    Brief

Tell us the event, date, venue and the idea. Photos, a mood board or brand guidelines all help.

  2. 2

    Site details

We confirm the room size, ceiling height, rigging points, power, load-in times, elevator or dock access and the venue's rules, by a visit or from your photos and measurements.

  3. 3

    Design and quote

You get a design plan and a written quote. Large installs are priced by scope, not by the foot.

  4. 4

    Build day

We load in during the venue's window, build on-site and walk the space with you before doors open.

  5. 5

    Strike

We clear everything out at the end of the night or the next morning, depending on the venue.

Venue rules worth asking about early: many Chicago hotels and event spaces set fixed load-in and strike windows, ask vendors for a certificate of insurance before the event, limit helium tanks, forbid tape on walls and won't let anything hang from the ceiling without approval. Downtown high-rises add freight-elevator and loading-dock reservations, often within set hours and with a few days' notice, and convention halls publish an exhibitor manual with their own rules. We sort these out before quoting so the build goes smoothly.

Large installs are quoted once we have the room's measurements. Overnight load-ins, dock fees and late-night strikes can add to the total.

What sets an installation's price: the area or length covered, the number and size of balloons, rigging and lift needs (ceiling height matters a lot), helium, labor hours, overnight or after-hours load-in, venue insurance requirements and same-night strike. Send the venue and ceiling height with your request and we'll scope it properly.

Occasions

Installations for Weddings, Proms, Holidays and Other Big Nights

Installations are for the nights when guests walk in and stop in their tracks.

  • New Year's Eve: midnight balloon drops, black-and-gold chrome ceilings and countdown walls.
  • Christmas and holiday parties: winter wonderland ceilings, balloon Christmas trees and decorated office lobbies all through December.
  • Halloween: spooky sculptures, black-and-orange garlands and themed tunnels.
  • Weddings: a cloud above the sweetheart table, a ceiling over the dance floor and a balloon drop for the first dance or the send-off.
  • Gender reveals: a drop of pink or blue, a giant confetti balloon to pop, or a cloud that opens up.
  • Prom, homecoming and graduation: a ceiling over the gym, a tunnel at the door and the class year in a mosaic.
  • Quinceañeras: a ceiling over the dance floor, a tunnel for the court's entrance and a mosaic of her initial, often in banquet halls from Pilsen to Cicero.
  • Lunar New Year and cultural celebrations: red-and-gold ceilings and garlands for banquets and community events.

Timing

When to Book a Balloon Installation

Allow three to six weeks for a large installation.

Smaller installs like a mosaic number or a home balloon drop can often be booked a week or two ahead. Ceilings, tunnels, sculptures and anything in a hotel, convention hall or event venue need three to six weeks for design, venue approvals, insurance paperwork and ordering custom balloons. December weekends, New Year's Eve, spring prom season and late-May-through-June graduations fill up first.

Questions

Custom Balloon Installations in Chicago: FAQ

How much do balloon installations cost?

Our custom balloon installations start at $500, mosaic numbers at $250 and marquee letters at $65 each. Ceilings, drops, tunnels and sculptures are quoted per project, based on size, rigging and labor.

What is a balloon ceiling?

Overhead balloon decor that fills the space above the room: helium balloons resting against the ceiling with ribbons trailing down, air-filled balloons hung at different heights, or garlands swagged across.

What is a balloon drop?

A net or bag of hundreds of balloons rigged overhead and let go at a set moment, like midnight on New Year's Eve, a reveal, a grand entrance or a send-off.

How many balloons does a balloon drop take?

Around 100–250 for a home or a small room, and 500–1,500 or more for a dance floor or ballroom. The drop area and ceiling height decide the number.

Where to get balloons filled in Chicago?

For a handful of helium balloons, party supply stores and some grocery and craft stores will fill them, though policies on balloons bought elsewhere vary, so call first. For an installation, we inflate everything ourselves, before the event or on-site, so you don't need to fill anything.

How long do ceiling balloons last?

Helium ceilings look best for roughly 8 to 12 hours. Hanging installs filled with air hold up for several days indoors.

How early should a balloon installation be booked?

Give big installs (ceilings, tunnels, sculptures, anything at a venue) three to six weeks. Smaller pieces such as a mosaic number or a balloon drop at home usually need one to two.

Do venues allow balloon installations?

Most do, with conditions. Venues often ask for vendor liability insurance, set load-in and strike times, and may limit helium, tape and anything hung from the ceiling. High-rises and convention halls add elevator, dock and exhibitor rules. We confirm all of it before quoting.

What is balloon art?

Large designed pieces and sculptures built from balloons, from oversized numbers and logos to characters and whole installations. Twisted balloon animals at a kids' party are a different craft.
